Position Overview: Supply Chain Coordinator – Rwanda
The Supply Chain Coordinator
is one of the most essential roles within AHN Rwanda’s operations. You will be
the backbone of supply chain processes — ensuring that vital medical
consumables, specialized equipment, and life-saving supplies reach the right
centers at the right time.
You are the person who ensures:
- Dialysis centers never run out of critical supplies
- Procurement processes are efficient and transparent
- Stock levels are accurate, updated, and well-documented
- Logistics delays are avoided
- Supplier relationships stay strong and reliable
- Compliance is always maintained

keeping AHN’s clinical operations running smoothly and safely.
Key Responsibilities (Fully Expanded & Humanized)

1.
Procurement & Supplier Relationship Management
In this role, procurement goes far
beyond simply placing orders — you will act as the strategic link between AHN
and its trusted suppliers.
Your
duties include:
- Building strong relationships with suppliers
Engage consistently with both local and international suppliers to ensure that AHN always receives high-quality medical consumables, dialysis equipment, reagents, and general supplies at competitive prices. - Maintaining a well-organized supplier register
Keep accurate records of selected vendors and perform regular evaluations on their pricing, delivery timelines, quality, and reliability. - Managing the entire procurement cycle
This includes planning, requesting quotations, analyzing prices, generating purchase orders, and following up on deliveries to ensure timely arrival. - Negotiating powerful deals
Negotiate pricing, volume discounts, and favorable credit terms that match AHN’s cash flow and operational needs. - Preparing periodic procurement plans
Create monthly or quarterly procurement schedules to align with operational forecasts, budget limits, and stock requirements. - Conducting price and quality research
When small purchases or fast services are needed, you will source the best options quickly, efficiently, and cost-effectively. - Collaborating with leadership
Work closely with the Country Director and the Regional Supply Chain Manager to maintain critical stock levels that support 100% operational uptime.
2.
Inventory & Warehouse Management
This responsibility ensures that
AHN’s centers operate with precision and zero downtime due to stockouts.
You will:
- Plan warehouse restocking based on consumption trends and center-level demands.
- Supervise reception of goods, ensuring that items received match purchase orders
and invoices exactly.
- Conduct regular inventory checks in all dialysis centers to ensure timely
replenishment.
- Perform routine warehouse audits to verify that physical inventory aligns with digital
records.
- Report discrepancies immediately, such as missing items, damaged goods, or low stock.
- Maintain accurate stock tracking systems, ensuring that ERP software and tracker sheets are
always updated.
- Handle expired or damaged supplies responsibly, following FDA-approved disposal procedures.
This is a role where accuracy saves
money, enhances service quality, and ensures uninterrupted dialysis services.
3.
Logistics & Distribution Coordination
Your role expands into logistics
support to ensure that all materials move efficiently from suppliers to
warehouse to dialysis centers.
You will:
- Determine correct transportation needs based on weights, packaging, and safety requirements.
- Coordinate with transport service providers to schedule the right trucks at the right time.
- Verify warehouse capacities to ensure optimal storage strategies.
- Apply for import licenses when medical supplies or equipment must be imported.
- Work alongside suppliers on product registration to meet FDA guidelines.
- Ensure compliance
with all Rwanda FDA and AHN operational procedures.
- Perform other tasks
as needed to improve supply chain performance.
Required Qualifications, Competencies & Skills

for someone who is both technically capable and mission-driven.
Education
- Bachelor’s degree in Supply Chain Management, Business
Administration, Logistics, Healthcare Management, or a related field
(required).
Experience
- Minimum of 2 years of experience in procurement,
supply chain, or logistics.
- Experience with ERP systems like Sage is a
strong advantage.
- Healthcare sector experience is highly desirable.
Technical
Skills
- Strong analytical and problem-solving skills

warehousing
- Ability to manage stock, track supplies, and maintain
accurate documentation
